The playbook

Complete Checklist (8 Items)

STEP 01

Check for New Violations

Search DOB, HPD, and ECB monthly for any new violations issued to your properties. New violations require immediate attention to meet correction deadlines, especially Class C (HPD) 24-hour violations. RegWatch automates this monitoring.

STEP 02

Review Open Complaints

Check for new DOB and HPD complaints filed against your properties. Complaints trigger inspections, so address the underlying conditions before the inspector arrives.

STEP 03

Monitor Active Permits

Track the status of all active permits. Verify work is progressing. Check for permit expiration dates and renewals. Ensure all required inspections are scheduled.

STEP 04

Building System Checks

Inspect common areas, lighting, fire exits, extinguishers, and safety equipment. Check boiler operation, elevator function, and HVAC systems. Document all inspections in the building log.

STEP 05

Tenant Communication

Address outstanding tenant work orders. Review and respond to tenant complaints. Distribute required notices (e.g., heating season schedules, building access changes). Maintain communication records.

STEP 06

Financial Review

Review monthly income and expenses. Verify all rent payments received. Process vendor invoices. Monitor utility costs for anomalies. Update the operating budget as needed.

STEP 07

Vendor and Contractor Oversight

Verify contractor insurance certificates are current. Review ongoing maintenance contract performance. Schedule seasonal maintenance (snow removal, HVAC changeover, pest control).

STEP 08

Compliance Calendar Review

Check upcoming compliance deadlines for the next 90 days: HPD registration, boiler inspections, elevator inspections, FISP filings, gas inspection deadlines, and local law compliance dates.

Effective property management in NYC requires consistent monthly attention to building conditions, regulatory compliance, and tenant needs. This checklist helps property managers maintain organized, proactive operations.
